The Challenge

A leading enrollment marketing agency serving higher education institutions needed to revolutionize how prospective students engage with their client schools. Their vision was ambitious: create an embeddable AI chatbot that could be rapidly deployed across multiple higher education clients. The chatbot would collect student information while providing intelligent, personalized responses about admissions, financial aid, campus events, and the application process.

The solution needed to capture Request for Information (RFI) data from new students, move prospects through the pipeline according to the agency’s proprietary methodology, and integrate seamlessly across web, SMS, and voice calling channels. A critical requirement was enabling students to start conversations on one channel, such as the website, and continue them via SMS without losing context. The architecture had to be designed for scale from day one, enabling rapid deployment of customized chatbot instances across dozens of educational institutions.

The Solution

PMsquare architected and built a comprehensive AWS-native chatbot platform with AI/ML capabilities at its core. The solution leveraged Amazon Bedrock for natural language processing, combined with purpose-built data stores including Snowflake, DynamoDB, and OpenSearch to support sophisticated Retrieval Augmented Generation (RAG) functionality.

The technical implementation included:

  • Multi-channel integration: Built chat interfaces for web, SMS, and voice calling. These had a unified backend processing that maintains conversation context across channels
  • Rich multimedia experiences: Designed interactive carousels featuring university graphics and links to deepen engagement and provide visually compelling information
  • Dynamic AI-powered personalization: Leveraged AI throughout the entire backend to customize conversation experiences in real-time. The system was able to intelligently determine which suggestions, graphics, and content to surface based on the ongoing dialogue
  • Marketing automation integration: Implemented data pipelines sending conversation data and lead information back to the client’s Marketo instance for automated email campaign generation
  • Intelligent data management: Designed data ingestion pipelines pulling from existing databases and writing to appropriate data stores based on workflow requirements
  • Advanced AI prompting: Developed sophisticated system prompts deliberately tuned to be empathetic and understanding. This aligned with the agency’s methodology for engaging prospective students. The prompts focused on what students truly want to understand about each school, creating authentic conversations rather than transactional exchanges
  • Security and compliance: Implemented robust data security measures following the client’s existing policies and procedures for handling sensitive student information
  • DevOps excellence: Built deployment pipelines using the client’s CI/CD platform with CloudWatch integration for performance monitoring and troubleshooting
  • Administrative control: Created a simple admin portal enabling the support team to update, modify, and manage individual chatbot instances and underlying data without developer intervention

The solution architecture prioritized native AWS services, ensuring scalability, reliability, and cost-effectiveness. PMsquare’s team worked closely with client stakeholders through weekly update sessions. Alignment was maintained throughout the development process across three change requests that expanded and refined the original scope.
