Persona-Based BI

The Power of Adoption

For data analytics solution investments to be successful, it is important to have a modern approach to user adoption. So, PMsquare has created its very own methodology to deliver successful user adoption within organizations.

With our Persona-Based BI approach, we’re able to make sure your end-users get the information and capabilities they need to not only adopt but thrive in their roles with data analytics solutions. Let’s walk through the steps of our Persona-Based BI approach. If you think of any questions or are interested, contact us!

Identify Target Personas

The Foundation of All Decisions

Your foundation will be based off the various types of users you have. The first step in PMsquare’s Persona-Based Approach, we identify the various types of users that your organization has through collecting information, thoroughly reviewing that information, and then develop personas to use as the foundation of your BI Investments.

Examples of information collected:

  • Demographic

  • Psychographic

  • Behavioral

  • Needs Based

  • Technology Adoption Style

Examples of Personas Developed:

  • Casual User

  • Power User

  • Director

  • Report Developer

Define Underserved Needs

PMsquare develops hypotheses around what benefits would serve each persona and what their underserved needs are.

We then test to see if these hypotheses are true through interviews. These interviews are based around formulated statements posing questions to interviewees about the statements.

Quick example:

  • Statement: “Completing tasks without IT permission.”

  • Question: “How important is completing tasks without IT permission?”

  • Benefit/Underserved Need: Working Independently

Determine What Value You Can Offer

We work with you to determine what you can offer to your users.

This is the first point at which we look at what BI solutions and platforms (ex: Cognos, Tableau, etc.) you have and see what their current capabilities are, how the company utilizes these solutions, and what can be done.

We tailor the experience to deliver maximum value to the personas (end-users).

Quick example:

Cognos may not allow some of your personas to work independently. We find that it is not due to Cognos’ lack of capabilities but because your organization turned off the self-service features. As we further evaluate, we come to a consensus that it’s best not to enable those self-service features but to have end-users that need to work independently use Tableau.

Align Features to Values

We determine how we will maximize value to align with what features personas will have access to. This eliminates the need for your organization to ensue Security and Capabilities Project, taking out two birds with one stone.

Quick example: We enable excel upload, dashboards, data modules, report authoring.

Design UX

Finally, we design a user experience!

We put everything into action. We make sure users have enablement & support.

Quick example:

  • Provide Training to Users

  • Skip Ticketing Process & Plug them into the Community

  • Set up very few rules

  • Constant communication

  • Allow users to make their own folders, save content to them, share them with people, allow them to use all authoring or modeling features, let them upload their own excel files

  • Establish preventive measures such as required data policy training and the power to revoke statuses

Measure and Report

Now we decide if it’s appropriate to ‘go live’ with a single persona, multiple personas, or all personas.

This step is key to determine which solution/tool to invest (more) into.

We will communicate constantly, monitor behind the scenes, and gauge success or failure and repeat with personas with our proprietary software, Thrive.
